Management of MFIs is automated by the USU Software, and this allows MFIs to maintain uninterrupted work processes, including their management, accounting procedures, and settlements calculations without the participation of employees whose duties include only adding their work readings obtained during the performance of duties. Without the participation of employees, it means automatically, providing management and other processes with the exact time and speed of execution, which, in turn, leads to an increase in the volume of completed tasks and, accordingly, in profit.

The automated management of MFIs reduces staff labor costs, therefore, the costs of payroll, which makes significant savings in MFIs funds, speeds up the exchange of information between different services and departments, which also speeds up work operations and, naturally, increases the volume of execution. Thus, the automated management of MFIs increases the efficiency of the organization, also by improving the quality of accounting, since it guarantees the completeness of data coverage, thanks to the mutual relationship established between them.

This program, the task of which is not only their management but also control over payments and their timing, balancing the funds issued and receipts in the format of regular payments, reporting to higher authorities, since the activities of MFIs are regulated by financial institutions’ top-level. Several databases are formed in the MFIs management program, the main ones being the client base, where personal information and contacts of clients are presented, and the loan base, where all loans issued to clients are located during the entire operation of the microfinance organization. Many of these loans have already been repaid, many are in progress — each has its own status and color, which can be used to determine the current state of any given loan.

The MFIs management application uses color indication very actively, giving the staff the opportunity to visually control the processes and their management; this saves their working time since there is no need to open each document to clarify, for example, the status of the credit. These color indicators include the degree of loan repayment, the level of achievement of the result, the presence of the next signature in the digital approval document, the level of available finances at the cash desk, and so on. Therefore, when organizing visual control over the loan in the MFIs management system, the manager quickly assesses its condition and, if it does not cause concern, deals with other credits and clients.

At the same time, the color change occurs automatically — when the status changes, that, in turn, changes when the information from other users about this loan is entered into the MFIs management system, for example, from the cashier, who notes in their work journal the payment received from the client for repayment of the loan, according to the schedule approved by both parties. Based on this information, the MFIs management system makes an automatic recalculation of everything related to the credit, changing the associated indicators and values, including the status of the application in the database. The system is controlled through color management, which is convenient, easy, and understandable, however, the program also uses other visual designations of levels of availability and performance — these are graphical diagrams embedded program spreadsheet's cells, in documents showing the degree of completion of each financial indicator up to 100% level.

MFIs management system uses such systems in order to simplify and speed up work operations as much as possible, this is the main task of automation and its process management. The process of managing an individual credit begins with opening a special form in the database, through which all information about the client is provided to the manager and is added to the USU Software’s system. This is not an ordinary form, but with a twist — it has two tasks and successfully solves both. The first task is to manage time in order to speed up data entry and, thereby, reduce the time the user spends in the system, which is achieved by a special format of spreadsheets, where either a drop-down menu with information is embedded, or a link to some databases. You do not need to manually enter anything, you just need to select the required information option.

The second task is to manage the subordination that exists between all data passing through such forms, being primary. Thanks to the connection of every data piece with each other, the MFIs management system ensures that there is no false information in its documents. If the client already has an active credit, the system will automatically add a new one to past payments and recalculate the size of the next repayment, taking into account the financial addition, generating a new agreement.

The client base has an active CRM system, where, in addition to personal information and contacts, the entire history of the client's interaction with MFIs is stored, including letters, mailings, meetings, calls, and a lot more.

CRM system offers its own tools for attracting new customers, generates a daily work plan for each manager and monitors its implementation, sends reminders. The program handles the compilation of financial plans for any given period and evaluates the effectiveness of personnel work based on them — according to the difference between the planned amount of work and the amount that was actually completed for the selected time period. CRM system offers the automatic distribution of advertising and informational messages, for which a set of text templates has been prepared in advance and digital communication is offered.

The list of subscribers for mailing is compiled automatically according to the specified criteria, except for clients who have not agreed to receive messages. Sending of all emails is carried out directly from our program. The format of such mailings can be different and depends on the occasion — general, personal, groups, the effectiveness of each determines the quality of feedback — new clients, loans, loans. This loan database contains detailed information on each credit application, including the date of its issue and conditions — maturity, dates and amount of payment, interest rate, changes. The staff maintains contact with each other through an internal notification system, which works in the format of pop-up messages sent to workers in a targeted manner. Customers are informed automatically, taking into account their credit time. This program performs automatic calculation of all financial operations, including loan applications, calculates monthly remuneration to users, penalties and commissions. To regulate the operation of the program, a regulatory and reference base is embedded in it, which represents all the standards and rules for performing operations and generating documentation.

It is the presence of a regulatory and reference base that provides automatic calculations, taking into account all its standards, all operations are calculated precisely and accurately. At the end of the reporting period, analytical and statistical reports are generated on all types of MFIs activities, where an assessment is given to all processes, personnel, and borrowers. Statistical accounting, based on various performance indicators, makes it possible to efficiently plan future activities and predict expected results. Analytical reports contain the results with the analysis of the company’s activities in order to control all debts, interests, and assess all deviations from the work schedule.
